Property management runs on the phone, and most of that phone traffic is repetitive, urgent to the person calling, and arriving at times when nobody is at a desk. That combination is unusually well suited to automation and unusually badly served by the generic tools sold for it.

We run one of these ourselves

My Getaways is a short-term property management company operated by the same person who runs this studio. Its inbound calls are handled by an AI phone agent that we built.

That matters for a practical reason rather than a marketing one. The things that go wrong with these systems are specific and unglamorous: the caller who asks a question your data cannot answer, the emergency that must never be handled by software, the availability figure that is thirty minutes stale, the resident who just wants a person and says so three times. We have had all of those on our own line, which is a different kind of knowledge from having read about them.

What it handles

  • Maintenance requests. The agent captures who is calling, which unit, what has failed, how urgent it is and whether a contractor can get in, then raises the work order and pages the on-call contractor if it warrants it.
  • Leasing inquiries. Confirms whether a unit is still available, answers rent, deposit, pet, parking and lease length questions, captures the prospect's details and books the viewing.
  • Routine tenant questions. Balances, payment dates, lease end dates, amenity hours, parking rules, package collection. Answers that already exist in your system and currently cost a staff member three minutes each.
  • Contractor coordination. Confirming a scheduled visit, capturing a completion note, chasing a work order that has gone quiet.

After-hours is where the case is easiest

Not because the agent is better than your team, but because after five o'clock it is not competing with your team. It is competing with voicemail.

Leasing inquiries do not arrive between nine and five. Prospects browse listings in the evening and call the one they like. A call that reaches a recorded message frequently means that person calls the next listing instead, and nobody in your office ever learns the inquiry existed. That is the number nobody measures and it is usually the largest one.

Maintenance has the same shape with a sharper edge. A tenant with no hot water at 10pm who reaches voicemail calls back angry, or calls the emergency line for something that was not an emergency, or posts about it. An agent that answers, logs the request properly and says what happens next defuses most of that before it starts.

Is this an answering service?

Two quite different products get sold under that label, and the distinction is the whole thing.

A traditional answering service, whether staffed by people or by AI, takes a message. Someone calls at 9pm, the message is written down, and it lands in an inbox for your team in the morning. That has value, but the work has only been deferred. You have the same queue, timestamped earlier.

An agent wired into your property management system does the work. It reads availability, raises the work order, pages the contractor, books the viewing. The caller gets an answer rather than a promise, and your team arrives to completed actions rather than a backlog. Both are fairly called an answering service. Only one of them reduces your workload.

The integration decides everything

An agent that cannot see your data can only take messages. To tell a caller unit 4B is available it has to read availability from your PMS. To raise a work order it has to write to it. If it cannot do both, the label on the box does not matter.

In practice that means a genuine two-way integration with whatever you already run: AppFolio, Yardi, RealPage, Buildium, Entrata or Rent Manager. Some vendors support exactly one platform, and platform-native AI features generally only work if you are already on that platform, often only on the newer tiers. Ask before the demo, not after.

Operators running more than one system across a portfolio should ask a second question: whether the agent can hold different data for different properties without the answers bleeding across them.

What we will not let it handle

A deployment is defined as much by what it refuses as by what it does. Three categories always reach a person.

  • Anything involving gas, fire, flooding, structural damage or a resident's safety. The escalation path gets tested before launch, not after.
  • Disputes, eviction, legal threats and complaints about staff. These need judgement and they create a record.
  • Anything touching fair housing. Published availability, pricing and screening criteria can be answered from your own data. Discretionary questions about applicants cannot, and an agent that improvises there is a liability rather than an efficiency.

How we would start with you

One call type, usually after-hours maintenance, because the alternative is voicemail and the bar to clear is low. It runs for a month while we read the transcripts, not the dashboard, looking for calls where the agent was confidently wrong and callers who asked for a human and waited too long.

Then we widen one call type at a time. Daytime overflow, then routine tenant questions, then leasing inquiries last, because a bad leasing call costs you a prospect rather than a phone call.

Before any of that we work out whether it pays. The numbers worth gathering: calls per month, the share arriving outside office hours, what you currently pay for overflow or answering cover, and your best estimate of the after-hours leasing inquiries that never reach you at all. If those numbers do not support building anything, we will say so.

Frequently asked questions

Does it work with AppFolio, Yardi or Buildium?

Yes, and the integration is the part worth interrogating. We build two-way integrations so the agent can read availability and write work orders rather than only sending you a transcript. If you run more than one system across a portfolio, we scope how the agent keeps property data separate before anything is built.

What happens when a tenant asks for a human?

It hands off, and how quickly it does that is one of the four things we check when reading transcripts. A caller who asks for a person and does not get one within a turn or two is a failed call regardless of what the dashboard says about containment rate.

How does it handle a genuine emergency?

It does not handle it. Gas, fire, flooding, structural damage and anything touching resident safety route straight to a person, and that path is tested before the agent takes a single live call. The list of what the agent must refuse is written down at the start of the engagement.

Is this suitable for a small portfolio?

It depends on call volume rather than door count. The question is how many calls arrive outside office hours and what currently happens to them. A small portfolio losing evening leasing inquiries to voicemail can have a clearer case than a larger one with a fully staffed office and an answering service it is happy with.

Can AI replace an outsourced call center?

It can replace a share of the volume rather than the contract, at least initially. The safer arrangement is to put the agent in front of your existing call center so it resolves what it can and passes the rest through. You keep the human safety net while you learn what it handles well, and reduce the contract later on evidence rather than on a promise.

How do we know whether it is actually working?

You read the calls. Every vendor supplies a dashboard with containment rate and average duration, and none of those numbers tell you whether the agent was ever confidently wrong. We read transcripts in the first month and sample after that, flagging four things: wrong specific answers, ignored requests for a human, calls that ended with no outcome, and repeat callers.
